Receptionist

Our client, a law firm located in Wellesley, MA, is seeking a Receptionist to join their team on a temporary to permanent basis.
The schedule for this role is Monday-Friday 8:
30AM-5PM.
The role is compensating $20/hour, and they are looking to fill the role as soon as possible.

Job Duties:
Answer the main telephone line and operate the switchboard.
This may also include looking up appointments on Outlook to confirm calls to attorneys, taking payments for legal fees, taking initial intake information, scheduling appointments and conference rooms for attorneys and staff, and fielding calls from the general public.
Scanning originals and filing in the proper matter in our timekeeping software.
This also includes organizing those scans as well as the paper documents within the software and the file room.
Greet all who enter the Firm warmly and in a welcoming, friendly manner.
People who are joining us for scheduled business shall be offered a refreshment and prepared if necessary.
Set up refreshments and clean the tables after each meeting in the conference rooms.
Keeping the reception area tidy, free of large piles of paperwork, and neatly wiped clean.
Running the dishwasher in the evening and emptying it the following morning.

Qualifications:
Strong written and verbal communication is non-negotiable as well as top-tier customer service.
Multitasking and efficiency without compromising the quality of work is crucial.
Processing credit card transactions is a must, receiving payments and writing receipts for clients.
Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint, Publisher) Adobe Acrobat DC Pro, as well as the ability to type without having to look down (40-60wpm), and to be able to take detailed messages.
Light housekeeping skills and solid organizational skills including time management.
The ability to ask for help and work together in a team atmosphere is crucial.
The ability to take detailed messages is a must.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
